Find out what common application documents mean and what applicants may need to submit.

Abstract / brief description of Bachelor’s thesis
A summary of your Bachelor’s or Diplom thesis; if it is unfinished, describe the research question and methods. The content and structure should follow academic standards.
Academic achievement overview form
The form required by some Master’s programmes. Use the application portal or programme instructions when it is part of your document checklist.
Accreditation certificate
A certificate confirming that the relevant university or degree program is accredited, issued by that institution.
Applicant ID (BID)
The 13-digit applicant identifier used with the Dialog-Oriented Service Procedure for restricted-admission programs.
Application for compensation of disadvantage
A request for reasonable accommodations when applying with a disadvantage affecting the application process.
Application for enrollment with signature
The signed enrollment form generated by the application portal after you accept an offer of admission.
Application for recognition of disabled status
The documentation requested when applying for recognition of a disabled status; follow the institution's current instructions.
APS – original certificate
The original APS certificate required for applicants with certain Chinese, Vietnamese, or Indian school or university qualifications.
Assessment Exam Certificate (Festellungsprüfungszeugnis)
Proof that you passed the final examination at Studienkolleg; submit it together with the relevant school-leaving certificate when required.
Certification of internship / work experience / vocational training
Evidence of completed internships, work experience, or vocational training when required by the program.
Collection of work / Work portfolio
A collection of your own work, such as texts, images, or other samples. Some programs ask you to present it during the aptitude assessment.
Confirmation of nomination for the Double Degree program
Confirmation from the university where you were last enrolled that you were nominated for a Double Degree program.
Confirmation of passing an aptitude test
Proof that you passed the aptitude test when the programme requires one.
Confirmation of passing the first year of study
Proof that you successfully completed the first year of study when the programme requires it.
Confirmation of the State Examination Office – Bescheid des Landesprüfungsamts
The confirmation required for a higher semester application in medical studies when part of your medical training was completed outside Germany.
Credit transfer application or credit transfer report
The credit-transfer application or report required when applying for a higher subject semester.
Current passport-style photo
A recognizable passport-style photo that meets the image format and size requirements stated by the programme.
Curricular analysis / content and results of prior examinations
A curricular analysis showing the subject-specific knowledge and examination results acquired in your previous studies; use the form for your program where one is provided.
Curriculum
A module catalog or equivalent evidence of the content and learning outcomes relevant to the program. A transcript alone is not sufficient when this document is required.
Curriculum vitae (CV) / résumé
A current, chronological and tabular CV with month and year for each period and no unexplained gaps after leaving school.
Degree certificate
Your final transcript of records or grades, normally showing the overall grade, academic title, and thesis result.
Enrollment certification from the university last attended
The most recent certificate proving enrollment at the university or higher-education institution you last attended.
Enrollment record
A record from your last German university showing total enrollment semesters, program semesters, and leave semesters.
Entrance qualification for Master’s degree program
The undergraduate qualification required for admission to a Master’s program, normally equivalent to at least a three-year Bachelor’s degree.
Essay
An original essay written by you, with sources cited. Follow the program’s instructions for topic, length, language, and format.
Evidence of digital notification of student health insurance (issued by a compulsory health insurance company)
The digital health-insurance notification sent directly from a compulsory health-insurance provider to the institution after admission and at your request.
GATE (Graduate Aptitude Test in Engineering)
The most recent GATE result required for applicants from India, except graduates of an Indian Institute of Technology where the exception applies.
GMAT (Graduate Management Admission Test)
The standardized graduate-management admission test score required or accepted by some programs; permit online verification when requested.
Grading system at the university last attended
An explanation of the grading system issued by the university you last attended.
Grading system with maximum and minimum passing grade
A certified explanation of the grading scale, including the minimum passing grade and maximum grade, for interpreting your transcript.
GRE (Graduate Record Examination)
The GRE result required by some programs. Check the program rules for the accepted test and minimum score.
Higher education entrance qualification
The qualification that gives you the right to study at a university, such as an Abitur, Matura, Baccalauréat, A-levels, or equivalent.
Language certificate German
The German-language certificate accepted by the specific program; consult the program rules for the required level and certificates.
Language certificate English
The English-language certificate accepted by the specific programme. Submit proof even when the testing institution also sends results directly to the institution.
List of best credits or equivalent results
A list of the best-graded credits or equivalent results when required by the program. Use the program’s specified credit total and form.
Module catalog
A module catalog describing duration, credits, examinations, prerequisites, learning outcomes, workload, teaching formats, content, and coordinators.

A description of a module’s duration, credits, examinations, prerequisites, learning outcomes, workload, teaching formats, content, and coordinator.
Notification of equivalency to the Bachelor’s degree
The official notification confirming that your qualification is equivalent to a Bachelor’s degree, issued by the relevant institution.
Notification of successful participation in a university test
Proof of successful participation in a subject-specific university test when required by the programme.
Notification of the Office for Certificate Recognition
The notification issued by a state certificate-recognition office, for example for applicants with an International Baccalaureate who use it instead of a VPD.
Notification of the right to take an examination / clearance certificate
A certificate confirming that you have retained the right to take examinations and have not irreversibly failed a required module.
Official transcript of grades
The official transcript of grades required with the relevant certificate-recognition notification, such as an official copy of IB results.
Passport
A copy of your valid passport.
Portfolio of work – Architecture
A digital portfolio of your own architectural work. Follow the programme's requested file format, page limit, file size, and page dimensions.
Preliminary degree certificate
A certificate proving that you have completed the Bachelor’s degree and been awarded it when the final certificate or diploma is not yet available.
Preliminary Documentation / VPD certificate
The preliminary documentation issued by uni-assist after assessing an international higher-education entrance qualification or Master’s entrance qualification.
Proof of disenrollment
The certificate from your last institution proving that you are no longer enrolled there; additional proof may be required in specific transfer cases.
Proof of English language proficiency via English modules
A form or official confirmation showing that English-taught modules meet the program’s requirements for proving English proficiency.
Proof of integrative German skills
For English-language programs, basic German skills must normally be acquired during the studies by the end of the second semester.
Proof of successful participation in a lecture, seminar or project in the field of social-scientific methodology
Proof of the required lecture, seminar, or project in social-scientific methodology for programs that request it.
Ranking certificate
A certificate from your last institution confirming that you ranked among the top 10–20% when this is requested or recommended by the program.
Reference letters – letters of recommendation
Only submit recommendation or reference letters, or reference contacts, when the program explicitly requires them.
Relevant extracurricular activities
Evidence of relevant activities outside formal education, such as internships or youth science and research programs.
Statement of purpose (Letter of Motivation)
A statement written by you explaining your academic and personal motivation for choosing the program, with sources cited where relevant.
Subject and grades transcript of previous studies / Transcript of Records
An official transcript listing passed modules, credits, and grades. It is issued before graduation and differs from the final degree certificate.
University diploma
The document from your university confirming the award of your academic degree; it is not a secondary-school diploma.
User Authentication Number (BAN)
The six-digit user authentication number used with the applicant ID in the Dialog-Oriented Service Procedure.
Verification FH (University of Applied Sciences) – 60 ECTS
Evidence of a subject-specific higher-education entrance qualification, often shown through approximately 60 ECTS from a related University of Applied Sciences program.
Verification of advising for qualified professionals by General Student Advising
Confirmation from General Student Advising that a qualified professional or master craftsperson completed the required advising interview.
Verification of completed internship for Bachelor’s programs in Civil or Environmental Engineering
Proof of the required internship for a Bachelor’s program in Civil or Environmental Engineering; submit it online through the responsible examination office.
Verification of entry on the doctoral candidacy list
Confirmation from the responsible doctoral school or graduate office that you are entered on the doctoral candidacy list.
Verification of exemption from sport assessment test / verification of passing sport assessment test
Proof of exemption from, or successful completion of, the sport assessment test; follow the current requirements for the relevant programme.
Verification of grounds of deferment as per §19 HZV
Evidence of a deferment ground under §19 HZV when reapplying after a deferred offer for a restricted-admission program.
Verification of military or civilian service
A copy proving military or civilian service, generally used as evidence for a deferment ground under §19 HZV.
Verification of passing an English aptitude assessment
Proof that you passed the English aptitude assessment when it is required for the relevant teacher-training programme.
Verification of subject-specific additional competencies
Evidence of subject-specific additional competencies, such as relevant studies, clinical internships, stays abroad, or Sinology studies.
Verification of successful completion of a mathematics examination
Proof of passing the required mathematics examination when applying as a vocationally qualified applicant without a higher-education entrance qualification.
Verification of voluntary year of social service
A copy proving completion of a voluntary year of social service, generally used as evidence for a deferment ground under §19 HZV.
Written statement
A written response to the questions or prompts specified in the programme's application instructions.
